1. Purpose and scope
The policy applies to Synphoria services, staff, contractors, and authorized representatives. Synphoria is designed primarily for adults and not knowingly offered to users under 16.
2. Service limitations
Synphoria is non-clinical and does not replace emergency or medical services. In immediate danger, users must contact local emergency services first.
3. Safeguarding principles
- Safety first with proportionate intervention.
- Least intrusive action needed for protection.
- Privacy by design with minimum necessary disclosure.
- Documented accountability for safeguarding decisions.
4. Roles and accountability
Senior leadership is accountable for safeguarding governance. Designated Safeguarding Lead: Demianov Alexandr (Founder & CEO), security@synphoria.app.
5. Monitoring and alert levels
Automated monitoring may classify situations as Green (monitoring), Amber (enhanced concern), or Red (urgent review) based on contextual risk indicators.
6. Escalation workflow
- Green: monitoring and trend observation.
- Amber: enhanced monitoring and optional welfare contact prompts.
- Red: urgent safeguarding review and, where required, emergency escalation with minimal necessary data.
7. Human review and decryption governance
Conversations are encrypted by default. Exceptional review requires controlled decryption access with strict role controls, reason capture, and audit trails.
8. Reporting safeguarding concerns
Priority channel: security@synphoria.app. Urgent phone line: +48 533 269 735. Immediate danger should always be routed to local emergency services.
9. Confidentiality and information sharing
Information is shared strictly on a need-to-know basis, limited to what is required for legal compliance or vital-interest protection.
10. Review and training
Safeguarding training is mandatory for relevant personnel. This policy is reviewed at least annually and updated for legal or operational changes.
